Reservation Guidelines

Before submitting a reservation request, please review the following information.

General Information

Before making a reservation, please double-check the reservations calendar to ensure there are no conflicts.

Open hours (during the school year):

  • Monday - Thursday, 9:00am - 9:00pm, and Friday, 9:00am - 5:00pm.
  • Closed weekends and on all university holidays.

Individuals and small groups are welcome to use the Language Commons and Alcove, unless these are marked as "closed" on the reservations calendar.

The Language Commons welcomes reservations for all activities related to language learning and international-cultural exchange.

Reservations will be acknowledged and/or confirmed within 48 hours, Monday-Friday. Requests made after Friday 5:00pm and over the weekend will be reviewed on the next business day.

Please note that reservations made within 24 hours of an event may not be seen or approved in time for the event, so please make a reservation as far in advance as possible.

Event Information

Before making a reservation, please double-check the reservations calendar to ensure there are no conflicts.

Request the time you need for the space. However, if an event immediately follows yours, please plan to leave 10 minutes before your official reservation ends so that we have time to prepare for the next reservation. For example, if your reservation ends at 2:00 p.m., please plan to leave at or around 1:50 p.m.

If you plan to use the LC's technology or audio-video system, including with your personal laptop, please find a time to visit the LC and walk through using the tech with one of our team members well in advance of your scheduled event.

When making a reservation, please provide as much detail as possible about the following:

  • event summary, including how it relates to the mission of the Language Commons
  • technological needs (e.g., A/V equipment, computers stations, microphone, laptop HDMI connection, etc.)
  • the specific space or spaces within the Language Commons you would like to use, if not the entire room (see this map for reference)
  • furniture organization preference (the Language Commons staff will prepare the furniture for your event, such as rows of chairs for a speaker event, depending on timing and availability of staff)
  • any other information that would help your event run as smoothly as possible

Recurring Reservations

Recurring reservations (the same event occurring three or more times in succession) will not have the option to close the Language Commons or Alcove to other users of the space. We are more than happy, however, to do our best to limit other users to those doing quiet study. If you have any questions, feel free to contact us.

Workshops

All workshops related to language learning and cultural exchange are welcome to use the Language Commons and Alcove. Workshops for more than three hours, including multi-day workshops, will be limited to dates that the semester is not in session.

Canceling a Reservation

If you need to cancel a reservation, please contact us directly as far in advance as possible. Last-minute cancelations prevent other groups from organizing events in the space. On a related note, please see "No-Shows" below.

No-Shows

If you make a reservation but never show up for it because you forgot to cancel it or for another reason, please reach out to us as soon as possible to discuss. In general, because no-shows disrupt the time of the students whom we require leave the LC space in preparation for a reservation, these events will not be rescheduled or otherwise accommodated.

Respecting the Space and the LC Team

Sadly, there have been some instances in the LC lately (Fall 2022) where our space and team have not received the respect they deserve. Groups who do not clean up after themselves, treat the LC staff rudely, or otherwise disrespect the LC space and team, will be asked to leave and will not be accommodated in the future.
